Deadlines

DECEMBER 1, 2024 – RENEWAL & DEPOSIT

Online renewal must be processed and a 50% non-refundable deposit per booth space must be made. All renewals are processed on www.eventhub.net. By signing up on this site, you agree to the terms listed.

JANUARY 10, 2024 – RELEASE OF SPACE

Booth space will be released if prior exhibitors failed to submit a 50% deposit per booth space by December 1, 2024.

AUGUST 21, 2025– NAME BADGE FORM DUE

All name badge request are due.  Exhibitors provide a list of names at the time of registration.  Any changes can be requested via email to [email protected]

SEPTEMBER 2, 2025 – GRAIN BIN SETUP

All exhibitors that are setting up grain bins can set up between September 2-7, 2024.  No setup of bins can take place on Monday, September 8, 2025.

If you have a large piece of equipment that needs additional setup assistance, please contact Emily Grunewald, Chief Agricultural Officer, to make special arrangements.

SEPTEMBER 2, 2025 – SHIPMENTS

Big Iron will start accepting shipments for booths. Please make sure to have them labeled with your name and booth number as well.

SEPTEMBER 23, 2025 – ALL EQUIPMENT REMOVED

All equipment must be removed from the Red River Valley Fairgrounds by Tuesday, September 23, 2025 by 8:00 am. Equipment left after this date/time will be charged a daily storage fee of $50.00 – per day – per piece of equipment. This includes the parking lot area North of the Campground and ALL property owned by the Red River Valley Fair Association.

Indoor Exhibits

  • 8′ x 10′

    • draping on back and sides
    • 110v electricity
  • DOES NOT Include:
    • Tables or chairs (these are available to rent on our eventhub site during your registeration process).
Booth Setup
  • When all fees have been paid and forms filed with the Big Iron Office, exhibitors may set up using the following guidelines:
  • Setup date
    • Monday, September 8th, 2025 from 8:00 am – 5:00 pm
    • All indoor exhibitors must be set up by 5:00 pm on September 8th, 2024.
Booth Teardown
  • Absolutely NO TEARDOWN can begin prior to 4:00 pm on Thursday, September 11, 2025. This even includes the literature at your booth. No tear down of booth display or products is allowed. No hauling of boxes and equipment to vehicles is allowed. Your booth must remain completely intact until 4:00 pm and not a minute earlier. Big Iron officials will be monitoring the teardown of your space. If you are tearing down prior to 4:00 pm, you will be fined a fee of $200 and the company will lose their first right of refusal for the next year. Show hours are from 9:00 am – 5:00 pm Tuesday and Wednesday and 9:00 am – 4:00 pm on Thursday. There are NO EXCEPTIONS to this rule.
  • FREE use of our forklifts available for teardown on a first-come, first-served basis on Thursday, September 11th from 4:00 pm until dusk, Friday, September 12th from 8:30 am to 4:00 pm, and Saturday, September 13th from 8:30 am until 10:00 am. Check-in at our Information Building to get on the list for forklifts Friday and Saturday.

Booth Setup
  • When all fees have been paid and forms filed with the Big Iron Farm Show Office, exhibitors may set up using the following guidelines:
  • FREE use of our forklifts available for move-in on a first-come, first-served basis during setup hours.  You will need to go to the Information Building and request a lift driver and sign liability waivers.
  • Setup dates:
    • Starts: Tuesday, September 2nd
  • Setup hours:
    • 8:00 a.m. to 3:00 p.m. weekdays
    • 8:00 a.m. to 10:00 pm (noon) Saturday, September 6th
    • NEW: There will be no lifts on Sunday, September 7th!!

Insurance Requirements

Exhibitors are required to have insurance that meets the following criteria on file with the Big Iron Farm Show office prior to setup:

  • Certificate of Insurance with limits of liability of $1,000,000 per occurrence
  • The certificate must name Big Iron Farm Show and Red River Valley Fair Association as the certificate holder (Your contract will include more detail)
  • Big Iron Farm Show must be added as additionally insured

Trailer Parking

Trailers are NOT ALLOWED to be parked outside of any gate (i.e. Gate 3). Trailers are NOT ALLOWED to be parked along the fence line along Main Avenue. Any trailer that is parked in front of any gate/ fence line, will be assessed a charge of $500/day.

Trailers not part of your exhibit space, must be off grounds and parked in the East gravel lot, on the East side. The East lot is the gravel lot, north of the Red River Valley Fair Campground.

Rules & Regulations

Exhibitors are required to adhere to the rules and regulations set by the Big Iron Farm Show.

Exhibitor Packet Information

All exhibitors must check-in on Monday before Big Iron to receive their exhibitor packet.  Check-in is located at the Information Building in front of Butler Arena. All packets must be picked up by 5:00 PM.

Name Tag Forms

You can now list your name tag request on eventhub while you are registering.  If you need any changes to your request, please contact Emily Grunewald BEFORE August 21, 2025. Name tags are not required!

Shipments and Deliveries

Shipments and deliveries will not be accepted until after September 2nd. Any shipments received prior to September 2nd will be charged a storage fee of $50/day per box/equipment. All shipments must be clearly labeled with booth number and exhibitor’s company name.

Camping is available on a first come, first served basis at the campground located directly East of the show grounds.
