Deadlines

DECEMBER 1, 2020 – DEPOSIT

$100 deposit per booth space must be received at the Big Iron Farm Show Office

JANUARY 1, 2021 – RELEASE OF SPACE

Booth space will be released if prior exhibitors failed to submit $100 deposit per booth space by December 1, 2020

FEBRUARY, 2021 – CONTRACTS MAILED

Contracts will be mailed to all exhibitors who have submitted a $100 deposit per booth space.  Sign and return contract by April 1, 2021

APRIL 1, 2021 – CONTRACTS, PAYMENT & INSURANCE DUE

All contracts must be signed and returned to the Big Iron Office by April 1, 2021.

Final payment is due.

Certificate of Liability Insurance listing the Big Iron Farm Show as additionally insured must be on file with the current 2021 show dates of September 14-16, 2021.

JULY 1, 2021 – INFORMATION DUE

All information must be received or space will be forfeited.

SEPTEMBER 1, 2021 – NAME BADGE FORM DUE

Name badge request form is due.

SEPTEMBER 7, 2021 – GRAIN BIN SETUP

All exhibitors that are setting up grain bins can setup between September 7-10, 2021.  No setup of bins can take place on Monday, September 13, 2021.

If you have a large piece of equipment that needs additional setup assistance, please contact Emily Grunewald, Exhibit Coordinator, to make special arrangements.

SEPTEMBER 9, 2021 – SHIPMENTS

Big Iron will start accepting shipments for booths. Please make sure to have them labeled with your name and booth number as well.

SEPTEMBER 17, 2021 – FOOD BUCK ORDER FORM & GOLF CART LICENSE FORM DUE

Food Buck form is due.

SEPTEMBER 24, 2021 – ALL EQUIPMENT REMOVED

All equipment must be removed from the Red River Valley Fairgrounds by Monday, September 27, 2021 by 8:00 am. Equipment left after this date will be charged a daily storage fee of $50.00 – per day – per piece of equipment. This includes the parking lot area North of the Campground and ALL property owned by the Red River Valley Fair Association.

Indoor Exhibits

2021 Booth Size
  •  8′ x 10′ – $500
  • Includes:
    • draping on back and sides
    • one table (if requested)
    • two chairs (if requested)
    • 110v electricity
Booth Setup
  • When all fees have been paid and forms filed with the Big Iron Office, exhibitors may set up using the following guidelines:
  • Setup date
    • Friday, September 10th, 2021 from 8:30 am – 4:00 pm
    • Saturday & Sunday, September 11th & 12th, 2021 from 8:00 am – 12:00 PM (NOON)
    • Monday, September 13th, 2021 from 8:00 am – 5:00 pm
    • All indoor exhibitors must be set up by 5:00 pm on September 13th, 2021.
Booth Teardown
  • Absolutely NO TEARDOWN can begin prior to 4:00 pm on Thursday, September 16, 2021. This even includes the literature at your booth. No tear down of booth display or products is allowed. No hauling of boxes and equipment to vehicles is allowed. Your booth must remain completely intact until 4:00 pm and not a minute earlier. Big Iron officials will be monitoring the teardown of your space. If you are tearing down prior to 4:00 pm, you will be fined a fee of $100 and the company will lose their first right of refusal for the next year. Show hours are from 9:00 am – 5:00 pm Tuesday and Wednesday and 9:00 am – 4:00 pm on Thursday. There are NO EXCEPTIONS to this rule.
  • FREE use of our forklifts available for teardown on a first-come, first-served basis on Thursday, September 16th from 4 PM until dusk, Friday, September 17, all day, and Saturday, September 18 until 10:00 am. Check-in at our Information Building to get on the list for forklifts.

Outdoor Exhibits

2021 Booth Size and Prices

Outdoor Exhibit Spaces are $.50 per square foot

  • 35′ x 30′ – $525
  • 35′ x 40′ – $700
  • 35′ x 45′ – $787.50
  • 35′ x 50′ – $875
  • Some Additional Sizes available upon request
  • Electricity available in some areas and arrangements must be made prior to the show.
  • The electrical cost is outlined in the contract.
Booth Setup
  • When all fees have been paid and forms filed with the Big Iron Farm Show Office, exhibitors may set up using the following guidelines:
  • FREE use of our forklifts available for move-in on a first-come, first-served basis during setup hours.  You will need to go to the Information Building and request a lift driver.
  • Setup dates:
    • Starts: Tuesday, September 7th
  • Setup hours:
    • 8:00 a.m. to 4:00 p.m. weekdays
    • 8:00 a.m. to 12:00 pm (noon) Saturday, September 11th
    • 8:00 a.m. to 12:00 pm (noon ) Sunday, September 12th
  • Other times are possible only by prior approval of the Big Iron Exhibit Coordinator

Insurance Requirements

Exhibitors are required to have insurance that meets the following criteria on file with the Big Iron Farm Show office prior to setup:

  • Certificate of Insurance with limits of liability of $1,000,000 per occurrence
  • The certificate must name Big Iron Farm Show and Red River Valley Fair Association as the certificate holder (Your contract will include more detail)
  • Big Iron Farm Show must be added as additionally insured

Trailer Parking

Trailers are NOT ALLOWED to be parked outside of any gate (i.e. Gate 3). Trailers are NOT ALLOWED to be parked along the fence line along Main Avenue or by the Case Building. Any trailer that is parked in front of any gate/ fence line, will be assessed a charge of $500/day.

Trailers not part of your exhibit space, must be off grounds and parked in the East gravel lot, on the tree line or East side. The East lot is the gravel lot, north of the Red River Valley Fair Campground.

Rules & Regulations

Exhibitors are required to adhere to the rules and regulations set by the Big Iron Farm Show.

Exhibitor Packet Information

Big Iron Packets will not be handed out at check-in this year.  All information for the check-in packet will be emailed to your company’s contact person.  It will be their responsibility to forward you and all information regarding the show.

Name Tag Forms

If you would like us to provide you and your staff with a name tag, please click Exhibitor Name Tags to download the name tag form.  All forms must be submitted by September 7, 2021 in order to be processed.

Shipments and Deliveries

Shipments and deliveries will not be accepted until after September 8th. Any shipments received prior to September 9th will be charged a storage fee of $50/day per box/equipment. All shipments must be clearly labeled with booth number and exhibitor’s company name.

Camping

Camping is available on a first come, first served basis at the campground located directly East of the show grounds.

Various hotels in the Fargo-Moorhead community offer special Big Iron Farm Show rates.
